How Successful Auction Fundraiser Must Be Run

By Esther Salazar

Organizing an auction fundraiser is most certainly not the easiest way to raise money. It requires tremendous effort in coming up with a good plan that can surely pull in hundreds of bidders. The "what to do'' list of initiators can be overwhelmingly daunting unlike what most people may think. Getting into this challenge is not a joke, but for someone tasked for the project, this practical advice may help fire up a pretty penny.

Make clear with the organizational intentions. It is imperative for an auctioneer to put a face on the event. Meaning, one should clearly identify the aims and goals of the event through having an impactful presentation illustrating where the money actually goes. Bidders will never be interested in attending not unless they know what the event is for. Advertising this to the whole community will be very helpful.

Be professional in using words. One must know how influential words can be. The event must be labeled only simply based on how it has to be done in a way. A ball or gala may simply denote a lavish gathering of social butterflies. It is rather wiser to use "auction'' and "fundraiser'' so as not to confuse attendees.

Establish stringent protocol for the crowd. Obviously, a credit card is not too far from an instant cash or a checkbook. However, it is crucial for an event host to be clear with the guests that a standard fundraiser is rather done in debit not in credit.

Decide on the auction type. Bidding is done in two ways; silent and live. A silent auction involves the use of certain bidding numbers that can make bidders anonymous to others. Live bidding, on the contrary, involves a large crowd where bidders know who they have been bidding against. The one that bids the highest is the one who wins.

Scout out auction items with special value. Bidders bid not simply for the benefit of the organization or event. They bid for two reasons. To be able to the help attain the goals of the project and to have something particularly great in return. One, therefore, needs to seek out something that have real tangible value each bidder can be enthusiastic about.

Commence the bidding at the right time. Everything is about perfect timing. Auctions often start with a banquet and end up with social conversation amongst participants. While auctioneers cannot just get down to business right there and then, it is important to observe the mood of everybody and do this before people get bored and leave.

Remember that it is money over ambiance. The key intention for having this is to generate a good amount of money for an important cause. The ambiance of the room may seem to captivate bidders but that is not always the case. A great sound system can help, though.

Procurement form is vital. Procurement of items must be done professionally. There should be a copy of record pertinent to the item being auctioned. This should be prepared just before the scheduled auction fundraiser happens. This is for bidders and auctioneers to have safe transaction free from any conflicts.
